0:00Rockbot just got another huge upgrade and it's called pages. You can now ask your bot for a report, a memo, or a dashboard. It builds it and then it can keep that page up-to-date on its own using a scheduled routine. So, I put it to work on five jobs from my own subscriptions to a full client project. If this is your first time here, my name is Casper. I'm the founder of Deep Rooted AI. I use these tools to run my entire business and I also build them out for paying clients. My goal for this video is simple. I want to build five pages in front of you that you guys can

0:28all steal today. By the end, you'll know exactly what to ask for, how to make a page update itself, and whether or not you should add this into your stack, and I believe all of you guys should. So, get comfortable, grab some coffee, and let's hop straight into the video. Now, this is quickly becoming one of my favorite features because I can quickly spin up dashboards like this crew dashboard. And essentially, what this is is every bot's status at a glance with what needs you first. So, right here you can see three bots need me at this

0:52moment, 12 are busy, and five are idle. This is not a live updated dashboard. I hope one day that it can be, but right now you guys can see last rebuild October 23rd at 7:10 in the morning. So, this is kind of my morning snapshot of what my bots were doing and what needs my attention. At the top, what needs my attention here are the ones that are busy, and then at the bottom, the ones that are idle and not currently doing anything. Now, although this is a snapshot that gets updated every single morning, you could get it updated throughout the day as long as it's on a

1:19scheduled routine. But here on the right-hand side, you can see crew dashboard 7:00 a.m. rebuild. And every single morning at 7:00 a.m., I can hop into my crew dashboard that's pinned in my library, open it up, and I can kind of see a broad overview of everything that my bots did. And that's kind of the

1:33whole idea of this new pages feature. You can build a dashboard, a memo, a report, and just have it constantly updated as long as it's on a scheduled routine. And later in the video, I'm going to show you how I turned this spreadsheet into a weekly scoreboard that's way more interactive. You can actually share this with your team as well. It has graphs, it has tables, and all the numbers are correct, and it's just a lot better than looking at a plain old spreadsheet. Anyways, I want to come back to this crew dashboard really quick and dive into it a little bit deeper. Just so you guys understand

1:59why I actually built this out for myself and how you guys can do the exact same thing. So, at the top we have a summary just of what our bots are doing, which ones need me, which ones are busy, and which ones are currently not doing anything. The ones that need me are always going to be at the top with a question or some sort of action item where I can actually go in and make sure that it's getting taken care of. Then moving down toward the middle, it tells me which bots are busy, when they were last active, and what they were actually working on. So, just a broad overview

2:24instead of kind of having to click through each bot on the left-hand side here individually. And then also, too, if I ever want to clean up or remove bots, it'll show me which bots are idle and when they were last active. So, as you guys can see, a few of these bots haven't been used in over a week, so maybe I need to get rid of them. And getting it created is even easier. I simply just asked it. I had it make me a dashboard of all my bots. You guys can copy this prompt off the screen. I'm also going to be providing it in the

2:47resource guide that I attached to all my videos, but essentially what I did is I had it grill me on this idea of a dashboard for all my bots. I answered a few questions, and then this is the result that I got. Now, this is what mine looks like, but let's say I didn't like the colors, let's say I didn't like the layout, I can really quickly just edit it by going down in the bottom. You guys can see that there's a little message feature, and I'm just going to say, "Edit the crew dashboard and change the colors up a little bit. I want to see red. I want to change the yellow

3:10color to a more urgent color, um and just kind of change the layout a little bit." And then I'm going to go ahead and just send that off, and it's going to quickly reframe the dashboard, recreate it, and give me a new update. And while it's checking on the available colors and just going through the update, I want to point out that right now I'm at 5% of my weekly usage. Before I sent any prompts, I'm on the $200 premium X subscription plan, and creating these pages is feels unlimited. Like, it does not move my usage at all. Now, if you're on the $30 premium plan or the $100 plan, it might

3:41be a little bit different for you. Just understand that creating these pages does not kill your usage that much. And of course, throughout the video, when I create pages or when I make edits, I'll be as transparent about the usage as possible, but I created five, six, seven, I think, different pages and my usage limit on the $200 plan only moved 1%. But, as you guys can see, it

3:59refreshed the page for me in real time. Here are the three that I need now. It's all in red. It's a little bit bigger, as well. 12 are busy, five are idle. It changed it up to red, so this makes it a little bit more urgent on my plan. The busy feature right here, and then the idle, it kind of made its own little sections. I really like that a lot. And then, if I go back right here, it can also show it in this fashion. And then,

4:19it tells me that everything is updated. Everything that was yellow is red now. The need you now tile is bigger. So, just a super easy update, and that took about 20 seconds to do. And you just have to ask it. That's the biggest thing that I want you guys to take away. And the huge unlock for me is that I didn't really dive into every single chat this morning. I just opened up this one page and then jumped into the bots that actually needed me and needed my attention. Before we dive into the next example, I want to take a quick second to explain to you what pages actually

4:44is, so nobody gets tripped up. So, there are three kinds of pages that we're dealing with. We have reports where the bots dig into data that you handed over and tell you what happened. We have memos, which are written for someone else to read, and dashboards where you check your numbers and statuses on one screen. Now, for myself, personally, I've been using the dashboards and reports pages way more than I've been using memos, but they all have their unique use case. And there are two different ways to use a page. The first way is you can actually edit it together with your bot. So, as you guys saw

5:12earlier, I just handed a edit to the bot in the chat window at the bottom, and then it made the edit live. The other way that you can use it is have the bot keep it up to date by itself using a scheduled routine. I want to be very clear about this. Just because you open up a page does not mean that it gets automatically refreshed. What actually happens is a routine runs on a schedule, that page then gets rewritten during that routine, you open the same link, and now you've got new numbers or new reports or whatever the case may be. The same thing applies to toggles and

5:38features on a page. Those change what you're looking at, but anything you type doesn't actually save. So, any page that you open up is not a live report, it's attached to a schedule, and for most of us, that's exactly how we want it. And just understand too that you can kick off these schedules whenever you want. So, if you want them to be updated as soon as you open it, you would just have to tell your bot to run the routine that it's attached to. Now, my least favorite part of this feature is the fact that you cannot delete pages. If I hop back into my Grok bot right here and I go

6:03into the library, which is where all your pages get stored, and they're stored per bot. So, if I create pages in my Chief of Staff bot, they're only going to be in the Chief of Staff's library. So, for example, if I hop over to CFO right here, go into you can see the Deep Rooted AI Recurring Charges, which we're going to cover in this video, but that doesn't exist in the Chief of Staff bot. So, the Chief of Staff bot has its own pages, and every bot has their own library. And trust me, I tried everything. I tried to have my Grok bot delete it, it wouldn't do it. I

6:31tried to find any feature that I could to delete a page. So, this is kind of a nuisance. Just be careful if you're creating a ton of pages, because you'll have them all saved in the Grok bot library, and I'm not really too sure how that affects your Grok bot's context at the moment, but at least you can edit it all you want. And if you don't have access to pages yet, just make sure you update your Grok bot to the latest version, and you should have complete access to it. Now that we're all on the same page, this next dashboard is one that I'm going to be using every single

6:56month. On this dashboard is every single subscription that my business, Deep Rooted AI, pays for. One of the coolest parts is that I can actually have a privacy mode feature, so you guys can't see my expenses or my credit card information or anything like that, and it's so cool that I can just insert that into the dashboard itself. So, right here you guys see that privacy mode, which blurs amounts and merchants. If I click this button, then you'll be able to see all the dollar amounts, the last four numbers of my credit card, checking account, and things like that. So, that was a cool feature that I found out

7:23about right away. And when I scroll down through this, it gives me my monthly recurring total, it gives me categories of where I'm spending the most money. You guys can see whatever this one is, is that's probably my AI subscriptions and everything like that, where a lot of the business money is going, charges per category, which I can actually show stopped and lapsed charges, and kind of edit it, and see exactly where I'm spending my money. Here you guys can see all of this is blurred out and this is not being edited. This is natively inside of GrokBot being blurred out amounts which I just thought was super

7:50sweet. And then just coming down here, all the categories, dev and hosting, marketing and social, ops and sales tool, domains. And then right here, this is one of my favorite parts, our likely duplicates and overlaps, so gives me a clear view of hey, I got to go back in here and figure this out so we're not getting double charged or we're not wasting our money. And then possibly unused right here. And this will be a recurring theme throughout this video and I kid you not, all I have to do is ask for it. I have to make sure it's connected to my Gmail and connected to

8:17any of my bank accounts. The bank accounts portion you do not have to do. Remember, all your subscriptions go to your email and you get a receipt there so you can just connect it to Gmail, Outlook, whatever email tool that you use. And then simply, all I asked it for was every recurring charge in my business inbox receipt, the monthly total, a flag for unused or duplicates, and a privacy toggle for recording this video. And then my CFO bot just built it out. Unfortunately, in the AI space, there's so many cool use cases that I want to share with you guys, but they share a lot of private information that

8:46I can't really show you and it's really frustrating and I'm trying to figure out a way around it. But I know it's blurred out on your screen, but to prove that all of this worked, I went back through some of my bank statements and kind of match these up and all of them were 100% accurate. This took one message and in 5 minutes, I'm able to see all of my business expenses on one page. It can't

9:05get any easier or more clear than that. Now, let's walk through how I'd use pages with a client. Okay, I want you guys to meet Northfield Heating & Air. It's a nine-person HVAC shop. The owner is the bottleneck. Quotes go out and nobody follows up on them. This is a made-up company and every number you're about to see is invented. I can't share any of my current client data out of respect to them, of course. This is a made-up company, but this is exactly how I would run a real engagement. So, there are three kinds of pages, as we talked about before, reports where the bot digs

9:32into data and tells you what happened, memos which are written for someone else to read, and dashboards where you check your numbers and statuses on one screen. And I built this data to show the exact pattern I look for in a real shop. So, when the bots find it, that shows it can do the job, and it's really not magic. So, let's start with this. What we're looking at is a spreadsheet of 90 days worth of leads, and it's very messy. We have dates that are in different formats, there are duplicates in here, and we have lead sources that are typed in however the person that typed them in

10:00was feeling that day. What I'm going to do is export the CSV, hand it over to my Grockit Bot, and ask it to give me an opportunity report to clean it up, show me where the shop is losing money, and tell me what to fix first. I already did this ahead of time, and because I can't delete pages, I'm not going to send it off again. But right here, we have the Northfield Heating and Air 90-day Lead Opportunity Report, and this is what we got. And before we get into the full report, I want to show you guys the cleaning notes. So, it actually cleaned up all the data first, because as I

10:25mentioned, we had wrong formats, we had duplicates. So, it took the raw file from 149 rows and cleaned it to 147 rows. It removed two exact duplicate rows. It normalized 37 dates. It fixed casings on 13 sources. So, it did a lot of cleanup on the data before generating this report, and all of that cleanup was filed inside of the report. But going back to the top of the report, this big number is staring at us right in the face, and that is the number that matters. And this is over $113,000 in estimated revenue lost in 90 days because 50% almost of the leads never got followed up on. We then get a

10:59breakdown summary of the entire report, and one of the biggest things that popped out to me in the summary was that speed matters. Leads answered within 24 hours closed at 53%, and then later ones closed at 26%. It also gave me this impact versus ease matrix, which I liked a lot, and it structured it in do later, do now, leave it, and leave it. So, we have six different opportunities scored on this list, and here are the opportunities scored on impact and ease, and which ones we should do now, do later, and leave it. So, follow up on every lead is a do now, and reply within

11:2824 hours are do now, cuz those impact that direct number above. And I think that we can all agree that if we have a spreadsheet with data that looks like this and we can turn it into a report that looks like this and is very clear and gives us opportunities to work on, we can share this with the client, we can share it with some of our team members to collaborate on with, but I just think that's a huge unlock. Now, just to make sure we're all on the same page, this is all in three parts and this first part that we covered is just the audit. So, we're finding where time

11:54and money are leaking based on the data that we have. We're going to score it and then we're going to go ahead and sort it in do now, do later, and leave it. And that way the owner knows exactly what we need to fix first. And you can edit any of these pages as much as you want by just prompting Rockbot. One of the ones that I made for this one was making this number absolutely massive cuz that's what I want the business owners to focus on. This is how much money you're losing because of this issue. So, we discovered the opportunity, the owner says, "Yes, I

12:19want to fix the follow-up." And this is how I would keep them in the loop. The next thing that I asked for was a client update memo. So, what I'm looking for here is the outcome in their numbers, what done looks like, what shipped this week, what's next, and what we need from them. So, the prompt was super simple. Write a one-page client update memo for Northfield Heating and Air. Outcome we're aiming for in their numbers, what

12:40done looks like, and on and on and on. And about 2 minutes later, it generated a memo for us. And the biggest reason that we set it up this way is so that the client always knows what done means, what's on them, and there's no surprises, and communication is clear. Now, in about a minute or so, we were able to draft this memo. And as you guys can see, it's not very sexy. There's no brand styling on it. Pages is natively inside of Rockbot, so you can't actually add branding on it. And it just shows up like this every single time. There's no real customization, but that's not

13:07really the point, right? The point is creating a memo so we can share it with our client and making sure we're all on the same page at all times. So, if I go ahead and scroll through this, what I really care about is the five things that we were looking for, right? The outcome we're aiming for, what done looks like, what shipped this week, what's next, and what exactly we need from the client. So, what I'm going to do right now is I'm going to go over here to this big share button. I'm going to click it. I'm going to change this from only you to anyone with this link,

13:31copy that link, and then send it over to my client. Now, when my client receives this link via email, he can always click into this and see whether it gets updated, whether there's something new that they need to do, and it's just a constant line of communication. One thing that I will point out is that only the owner of the actual page can edit the page. So, if I share it with my

13:49client, they can't actually edit it. They only have view ability. And I believe this is the same thing on the Teams feature, which I hope they fix really soon because what's the point of sharing a page if people on your team can't edit it. I kind of think that's a little bit weird, so I hope that they fix that. Speaking of sharing, on the X Ultra plan, there are two share levels, so only you or anyone with this link. If you want to share with a team, that will actually need a Teams plan. So, I'll switch this to anyone with the link, and then I'm going to go ahead and open it

14:17in an incognito window to show you guys specifically that if you share this link with anyone, they do not need to sign in. They will have full access to it. Okay, so in Grockit, I switch it to anyone with this link. I'm going to go ahead and copy this link now. I'm going to open an incognito window, paste this in, click open, and right now you guys can see the memo that this would be from a client's perspective, a client's point of view. I want to prove that because right here it says try with Grockit. I'm not signed in to my own account. They can download a PDF of this, and it works

14:43really smoothly. Now, if I go back to Grockit and I switch it back to only me, and then I go ahead and save that, then I go back to the incognito page and press refresh, and now we're going to see completing sign in. I have to actually log in to my account to get access to this. And I know I've said this a ton, but remember you cannot delete a page. So, make sure you're never putting any sensitive information on an anyone can view link. Okay, so now we found the problem. Now, we're keeping the client updated with everything that we're doing. We're making sure we're on

15:10the same page. It's been 30 days later, and now we have to actually prove what we built worked. Back to our made-up situation, this is the log that the HVAC company tracks every single week. How it's categorized is we have a baseline period, so new leads during this baseline period and what happened after, the quotes followed up, the jobs booked, and the revenue that increased throughout the weeks of our system being implemented. So, what I handed over to my Grog Bot was the link to that Google Sheet. You guys can do a CSV export as well like we did earlier in the video, and I said build a weekly scoreboard for

15:39Northfield from the sheet. Baseline weeks versus the weeks since the follow-up system went live, follow-up time, percentage of quotes followed up, jobs booked, revenue booked, and any short what changed summary at the top. Refresh it every Monday at 8:00 a.m. from the sheet. So, we're making sure that every single week we get a lock. And all of these pages get generated so quickly in such a simple fashion, and it

16:00just does not eat your usage at all. Again, from my perspective on the $200 a month plan, I created seven different pages in total just testing things out, and my usage didn't even move. So, when you're on the $100 plan or a $30 plan, just so I'm being clear, it might be a little bit different for you, but again,

16:16the usage is very friendly here. Anyways, very quickly we got this Northfield weekly scoreboard, so let's go ahead and take a look at it. I'm going to open it up right here, and here it is. Again, you can share this with the client if you wanted to, but this could also be internally or whenever you're meeting with them to show them all the before and after of your system actually working and proving that it was worth their investment. So, right here we can see baseline versus since go live. The baseline was 4 weeks. The average follow-up time here was 54 hours on a weekly average. It dropped about

16:4592% to 4.2 hours. The percentage of quotes followed up on 95% going from 58% jobs booked per week went up 40% jobs booked total was 16 to 28 revenue booked per week went up 50% so our system is proving that it's working very very well for this company. Now, I want to show you guys this getting updated in real time. So, this is baseline weeks versus the weeks since the follow-up system

17:10went live the week of September 28th. Data is as of October 22nd 3:48 p.m. Central Time. In our Google Sheet right here, we can see I added a week here and now it's 11:02, so November 2nd, and we're going to see this sheet now get populated. Inside of Grokbot, you can see right here that I have the Northfield Scoreboard Monday routine. I currently have it turned to off cuz this is a fictional scenario, but what I'm going to tell Grokbot to do is just run this routine. Hey bot, please run the

17:35Northfield Scoreboard Monday routine. And I'll just send that off and now we're going to see the most recent rows get populated. There it is. Let's go ahead and click into this now and we can see that it's data as of October 23rd. I probably should have changed it to read November 2nd, but that's okay and I can go ahead and see here that the numbers actually moved again. So, 3.9 hours, 93% the jobs booked per week went up a little bit as well and the revenue definitely went up. Now we're over 50% here and then the percentage of quotes followed up on went up 37.3 points. So,

18:06we see the data being changed and what I love about this scoreboard as well, I want to make sure I show all of it, is right here. You guys can see all these statistics on a nice little graph and it's just very visually appealing for the client as well. So, follow-up time is showing a massive decrease across the time that our system's up, follow-up percentage is going up, jobs are going up a little bit and then revenue is

18:26obviously going up throughout the time. And just to make it even more clear for you guys, the spreadsheet table is also here and you can see November 2nd live leads are 12 and the system is fully updated. And arguably, this is probably the most important part of any client interaction is making sure that your system actually works by proving it in the client's own numbers and that's what earns you the next phase of work. Now you're probably asking, "Casper, what did all five of these cost me?" I probably said it a hundred times in the video, but I always want to be very clear on usage. Every build, every edit,

18:57the refresh that I did yesterday, five pages total and my usage meter set at 4% weekly usage before and 4% of weekly usage after and that's on the X Ultra $200 plan. It literally cost me nothing. Of course, this is a new feature, so it does fall short in a few places. My first one is that it doesn't pull fresh data when you open it. It has to run on a schedule, and you have to set that up, and schedules often eat up your usage a little bit. The default look is pretty plain until you ask for a design, and even when you ask for a design, you're

19:27not going to get that design unless you export it into a PDF and have Grok Bot create some sort of HTML and things like that. My biggest issue right now is that you cannot delete pages. I absolutely can't stand that. It feels like we're going to get our systems bloated completely the more pages that we create. And if you want to share with your team, you're going to need a Teams plan. I'm going to send you guys off with my honest thoughts on pages. I love this feature. I think it has a lot of room for improvement, and speaking of improvement, if you learn the fundamentals right now of just asking

19:56your Grok Bot to build these pages for you, build these dashboards, these memos, as it continues to improve, it will just be much easier for you to adopt. And I think that adopting this into your business, whether it's just for the memos, whether it's just for the dashboards, or internal communication, or external communication with your clients, I think this is a huge unlock for all beginner Grok Bot users and current Grok Bot users. Anyways, I hope I made this pages feature very clear to you guys. I know I threw a ton at you guys today, so if you got lost at any

20:23point of the video, don't worry at all. I'm going to be dropping a full free resource guide with all the prompts that I used in this video, and everything you need to follow along and start taking action with this new pages feature yourself. All you guys need to do is click the link down below, enter your email, join my free school community AI Made Simple. There you'll get access to all the resource guides that I've ever created, including the one from today's video. So, I hope to see some of you guys in there soon. As always, if you've gotten any value from this video, drop a

20:48like, hit that subscribe button. It definitely helps me out a ton. Turn those notification bells on so you never miss one of my videos, and leave a comment down below on whether you prefer dashboards, reports, or memos. I'm loving the dashboards feature right now. The Bot HQ is pretty cool. I'm a big fan of it, and if you made it this far in the video, thank you so much, and I'll see you guys in the next one. God bless,

21:09guys. Hey there. If you're still here, that means you've made it to the end of the video. First of all, thank you so much. If you're new here, something I like to do at the end of all my videos, it's literally my favorite part of making these videos, is I pray for you guys, my audience. I do this because I genuinely care about you guys. I love seeing your support and your faith down in the comments below. It really fires me up and continues to get me in my word and just uh just fires me up to do these prayers

21:35for you guys at the end of the video. So, thank you for that. I also do this because I want to see you guys live fulfilled lives. I want to see you guys keep spreading the good word of God and just continue being positive lights in a very crazy world. Most importantly, I do this because I know that there's people out there that need to hear it. I know that there's people out there, our brothers and sisters of Christ, who are struggling mentally, physically, financially, whatever the case may be,

21:55grieving the loss of a loved one. There's a lot of struggle in today's world, and uh I just want to make sure that those people are um acknowledged, that those people uh know that there's someone out there that's praying for them, a group of people that are praying for them, and uh that there's people out there that really love them and want to help them. Uh I'm going to go ahead and send you guys off with a prayer. If at any point you feel uncomfortable, please feel free to click off the video. I'm not here to force anything upon you guys, but do know that if you leave,

22:20Jesus loves you. I'm going to go ahead and send you guys off with a prayer. Heavenly Father, Spirit of the Living God, Holy Ghost, thank you so much for this day. Thank you so much for the breath of life uh this this day and allowing us to just chase every opportunity and and just

22:36honor and glorify your name in doing so. Lord, we want to thank you for those opportunities and just the abundance uh that we have in this life, and um we just need to be thankful for that. We need to soak that abundance in because we have so many blessings around us that sometimes uh it's hard to acknowledge. And Lord, I just pray that you help [snorts] us acknowledge those little blessings and uh just ignore the crazy

22:57noise that's going on in this world. Lord, I want to thank Thank this platform. I want to thank you for this amazing opportunity to share all my knowledge on AI and everything that I'm learning with this beautiful audience, the people on the other side of this screen, Lord. It's just something that I can't thank you enough for, and I pray that you continue to give me the wisdom, and you continue to help me use this platform to spread your word, to spread positivity, and just spread good information uh regarding AI, because I know there's a lot of people who are not spreading very good information. Lord, I

23:26want to take this time to pray a blessing over this audience, a blessing of just wisdom, courage, and strength.
