This is the full transcript of Grok Bot Tutorial for Beginners, published on YouTube by Kevin Stratvert. Every paragraph carries the moment it was spoken, so you can click any line to jump straight to that point in the video, search the whole thing for a word, or copy it out.
0:00Today, I'm going to show you exactly how to use Grok Bot step by step. Now, Grok Bot gives you AI teammates or agents that connect to your apps, work on their own computer, and finish real jobs for you while you do something else. I'm David and we'll start with the basics today. Build your first bot and teach it something to do on its own computer. Then come the power moves, like when to hire a second bot, giving your bots work on a schedule and having them work together. By the end of today, you'll have your first
0:29AI team doing real work for you, not just another prompt you have to manage. So, let's go. You can get started with Grok Bot here on x.ai/bot. Now, you'll start with a seven day free trial, and then you can decide to pay for $20 a month. Hit the download button, run the installer, and you're in business. Once you're in, over on the left-hand side is your list of bots. Think of each one as an agent teammate with a name and a job, so this is really your team's group chat. Here on the right side, is the conversation with whatever bot you've selected. Down below is the message box where
1:05you tell it to work. Unlike ChatGPT or other popular AI apps, you never start new chats. You just message your bot when you need something new. And the pattern is one bot per type of job. So let me show you how to create one. Start by clicking the plus icon up here, then click Create New Bot. After a few seconds, it interviews you to set itself up. Before I answer it, I'm going to name it by clicking on its name in the header. In the right sidebar here, click on its name to rename it. I'm going to call mine Eagle Eye. And these bot avatars are kind of fun. You can click on them to change them,
1:37get a couple of different shapes to choose from. Let's go with this combination. With that out of the way, let's answer what we want to use Eagle Eye for. Now, you can start with one of these four options if they make sense to you, but I'm going to type in something custom and make an inbox tracker. See, I'm in charge of a donut shop, and sometimes I get catering orders inside my
1:57email, and I don't want to miss them. Now, if you do something similar, it'll tell you that your email is not connected yet. And instead of having to go through a convoluted plugins or connectors window, you can just do it right here in the chat. I'll select Gmail. And then this new card shows up that I can click Authorize on to connect to my email. Now, one of the things I like is that Grok Bot lets you connect multiple accounts per connector. So if you have multiple Gmail addresses or multiple calendars, multiple Slack instances,
2:27you can do that here. If you ever need to manage or disable those connections, just click on the connect apps button in the bottom left. Just head up to the connected view in the top right. Now, let's go back and see what Eagle Eye has found. Okay, so pretty quickly it found this catering email from Adele that needs my attention. And then it did a thing called creating a routine. It automatically sets itself up
2:50to check for new orders every hour. This is one thing I really like about this new wave of bots like Grok Bot and Muse. They keep watching things for you without any complicated setup. From here, I like talking to it like a teammate. You can use the microphone button or the voice mode in the bottom right. Hey, Eagle, is there any more information about the order? If not, go ahead and draft a reply to Adele. With
3:11the microphone, that just gets written for you in voice mode, Grok will talk back. So that pops up this drafts window which shows you everything it's about to send. Now, what's cool here is that it'll pick up context from previous emails. Adele has asked us for custom logo boxes in a previous order and Eagle Eye has picked this up. Now, I like this email and I'd send it as is,
3:33but what if you don't? Just tell your bot in the same conversation what you want to change. I actually want this to sound more like AI, so please add some em dashes in. And just like clockwork, it gives you this new email with all of those lovely em dashes. To close this up, let's send this email. Now, when you correct a bot like this, it saves that information inside its own memory. This back and forth is how you get the best results and how you
3:57train your bots. In case you want to know what your bot has remembered, you can just ask it by showing all of its memories. You'll see the memories quite extensive, capturing both implicit and explicit context. Okay, that's enough with Eagle. Now, I need help with my finances too. I don't give this job to Eagle because he's my inbox watcher. I train up
4:19a new bot called Dough and three guesses why I called him that. Now, Eagle used a Gmail plugin to connect to my email, but what about an app that doesn't have a plugin? For those, every bot has its own computer. And you can access it by going into the bot's details and clicking on Computer.
4:37Now, Dough's not doing anything yet, so his computer looks pretty boring right now. Let's change that. So to answer the question, we're going to categorize and post pending transactions in QuickBooks, and I want to show you how I do one first. So here's the fun part. You can log in to the bot's computer by clicking this open button. Now, if you're on Windows, you're out of luck because it looks
4:59like this. But on a Mac, you see this Teach a task button in the top right. Use this to record what you do to teach the bot to do it for you. So I'll open the browser and sign into QuickBooks. Then I go to the starting screen, and now I'm ready to teach Dough a task. I'll demo how to handle one transaction. We'll go to the East Bay Water utility
5:21line, and then set the From/To box to a new utility vendor. Then I'll select Utilities for the category. Finally, I'll click Post. If you were doing this for real, you'd show more examples, but let's click stop here. Then Dough reviews the recording. Now, back on my Windows machine, it's finished the review, and it tells you in
5:39these three paragraphs what it understands from your recording. For us, the key is in the second paragraph. On each pending row, it sets a vendor, and then a category, and then posts the row. If some part of this is wrong, correct it with a message. The more specific you are, the more reliable it'll be. So let's see what Dough's learned and have it categorize the rest of the
6:01transactions. Big shout out to QuickBooks for sponsoring this video. Now, I've been a customer for over eight years, and I keep coming back because I don't need to think about my finances anymore. QuickBooks brings in all my bank account and credit card transactions, and then suggests a category for each one. Then Grok Bot, like you see here, actually helps me finish the job. You can invoice
6:22customers, and it connects to all major AI platforms to do that too. And with quick reporting on my P&L statement, my month-end close is easier than ever. Check out the link below to get started, and try QuickBooks Online 50% off for three months. So Dough took care of those transactions, and then turned the recording into something called
6:40a skill. A skill is a saved task that you can type at any time by pressing the forward slash key. That brings up a menu where you can select your skill. Just press Enter to run it. Okay, let's cover a different kind of example. This is my bot Glaze who runs customer support. To set it up, I said,
6:57can you monitor and respond to tickets in my support queue on Freshdesk? If you don't know Freshdesk, it's basically a ticketing system. Now, we've got these three tickets in, and it needs to know what to do with them. It did try to draft some replies down below, but it has no idea how to deal with these. But we can attach our support documentation, and then ask Glaze to use these SOPs
7:19to draft responses. It then goes straight into drafting replies to the open tickets. And after a few seconds, we get these new drafts. Now, I can choose to edit any of these drafts just by messaging Glaze. Let's say I'm fine with these. I just want Glaze to look for new tickets on a schedule. Eagle Eye did this earlier without us asking, but in case you need it, you
7:40can use a prompt like this. Monitor Freshdesk every hour from 7:00 a.m. to 5:00 p.m. for new support tickets and draft responses for my approval. This creates a routine which you can click on to view the details of. And to see all the routines for a bot, just click this back button on here.
7:56Under details, you'll see all those routines. Now to wrap up today, I want to show you something you probably haven't seen before, which is bots talking to each other. In Grok Bot, when you click the plus sign, you can create a new group chat. I'll add Glaze, and Dough, and Eagle Eye, and then I'll ask for a status
8:13update. I'll address each bot by name and tell them exactly how I want them to act in this chat. Then every bot checks in, so Glaze talks about the helpdesk tickets, Eagle talks about the inbox, and Glaze actually tells Dough about a refund it should expect in QuickBooks. They have this back and forth on the refund and then ask me for help
8:34on what to do next. Group chats are a great way for bots to gather necessary context from each other, but they do use up your weekly allowance faster. You can always check that usage allowance by clicking on your profile icon, then going up to weekly usage. Now you know how to use Grok Bot to get work done and make a difference
8:52in your life. Thanks to QuickBooks Online for sponsoring. You can try them for 50% off for three months using the link below. I'll see you next time.
