This is the full transcript of 5 Reasons You Keep Hitting GrokBot Limits (And the Fix), published on YouTube by Kacper Rutkiewicz | AI Made Simple. Every paragraph carries the moment it was spoken, so you can click any line to jump straight to that point in the video, search the whole thing for a word, or copy it out.
0:00So, you bought extra Grockbot credits. There's still money in your account and your Grockbot says you're out of usage or you're hitting your weekly limit way faster than you should be. A lot of the time, it's a second limit on your account that's easy to miss or something in the background eating your usage. If this is your first time here, my name is Casper. I'm the founder of Deeprooted AI. I use these tools to run my entire business and I also build them out for paying clients. My goal for this video is simple. I want to walk you through the five reasons you keep hitting your
0:28Grockbot limits and how to fix everyone. By the end, you'll know exactly which setting is blocking your credits, how to find what's eating your usage, and whether or not you need to buy more at all. So, get comfortable, grab some coffee, and let's hop straight into the video. All right, so what we're looking at is my billing page. You guys can find
0:44yours at grock.com/dashboard/billing. And it has two different cards. So, on the lefth hand side here, you have your current plan. I'm on the ultra $200 a month plan and my usage reset actually today. So I'm at 1% used for the entire week. It is a weekly included usage plan. So this is not monthly. This is not daily. It is fully week to week. And this is included usage with your subscription and it is used before you use any credits. Speaking of credits, on the right hand side here is my account balance. The top line says $0 of 50 and
1:13it's labeled monthly additional usage. Credits available is a separate line under it. And that top line is the hidden limit. To make it a little bit more clear for you guys, say my cap is $50 and I buy a $100 worth of credits. I can only use $50 of it this month. The other 50 sits there until the cap resets. Now, you can fully customize your limits. And if I wanted to go ahead and change mine, I would go back to the dashboard that I showed you earlier, click on edit right here, and change this monthly additional usage limit to something like 100, 150, whatever the
1:44case may be. Once you're done editing, this cap resets every single month. On the lefth hand side here, your weekly pool resets on its own 7-day cycle. So essentially, you've got two different clocks running inside of your premium subscription. The page also says that credits expire after 2 years, so they won't be disappearing at the end of this month, but just be careful. In 2 years from now, they will. Just a quick note here, I'm on the Ultra plan, and I have not hit this cap myself. I rarely ever use API pricing or additional usage credits. So what I did instead is I went through every doc and every staff reply
2:15and I'm using my account as the working example. Now what I want to point out as well about the additional usage credits that is on API token billing. So it is very expensive. I would advise you guys to avoid this as much as possible because you will run up a bill very quickly for very simple prompts. Before ever using this additional credits pool, I would highly look into actually just upgrading your plan. If you are on the $30 plan and you are constantly hitting your limits, you are probably doing a lot and you need that $100 plan. And likewise on the $100 plan, if you're burning through that, that means you're
2:45using it a ton. And the $200 plan is probably worth your money. Anyways, let's get into reason number one, and that is the weekly pool. Your plan gives you a weekly pool of usage, and your credits only kick in after that pool is empty. Now, a few things have changed since my last usage video on the X subscription, which is a new X premium subscription. Grock, Grockbot, and
3:05Cursor all share that one weekly pool. The plus version of this subscription does not include Grockbot. Only the premium version and up include that, which means you'll have to be spending at least $30 a month to get Grockbot access. It's also important to mention that the reset is a rolling 7 days from when you joined and got access to Grockbot at the same time of day. It doesn't reset at midnight or anything like that. And the app actually shows
3:27you the date, but not the time. Different jobs also cost different amounts from that same pool. And we're going to get deeper on that in reason five. For now, let's actually get into the first fix of the video. And you can do this today following alongside myself. Staff on the cursor forum said that full conversations with your Grockbots get sent back to the model on every turn. And every routine run sends again. So, a bot that you've been chatting with for weeks pays for that whole history every time you run a
3:55routine, a chat, or anything like that. and their number one fix for this problem is to start a new conversation per task with your Grockbot. What we're going to be doing is asking our bot to save a handoff file with its job, its standing rules, its active work, and its key links. Then start a completely clean
4:11chat just by duplicating that bot over. And we're going to make sure that we pause the old bot or just completely delete it since we're creating a duplicate. Understand that hiding a bot doesn't pause its routines. Skip this and they're going to run twice and kill your usage. Now, the confusing part here is that you can't actually start a new
4:28chat with a bot inside of Grockbot. Like, you guys can see if I hop into, let's just hop into this CCO bot right here. There's no option to start a new chat. All I can do is scroll up and this entire thread and of things you're seeing get loaded on every message that I send. So, that's why the usage limits are so brutal on Grockbot. And there's no really way to combat that until this new way that I found out. You also have these routines on the right hand side that run pretty often. This one runs every Sunday, so it's not that often and it's not really affecting my usage. Now,
4:57this gets a little bit confusing because previously in Grockbot, there was actually a bot duplicate button where you could duplicate the same bot and then actually just start a new conversation and it would have all the history and the memory and everything like that. That has changed now and you can't actually do that. So, way that I've figured it out is to actually create a handoff file. So, right here at the bottom, I'm going to type in this prompt that says, "Before I start you in a fresh conversation, write a handoff file that I can give to your copy. save it as a handoff.md and keep it short and
5:25onepage max. These are the things that it's going to include. So, it's jobs, standing rules, active work, key links, routines, and what they've learned about me. We're going to skip the history of our chats. Only include what your copy needs to keep working tomorrow. Right? So, this is essentially our way of creating a duplicate of this chief content officer bot. I'm also going to throw in there to save it to my local desktop just in case it goes in this library and then I delete it and I can't access it anymore. So, let's go ahead and send this off. Now, if you are going to be doing this, I would highly advise
5:52that you do it on your computer. It's just a little bit easier to manage and change all the files and things like that. But just understand that it's fully synced to your phone. So, once you do it on your computer, you'll have access to the same Grockpot on your phone. Now, while that's working, the cadence that you do this on is fully up to you. Now, would I do this every single new task? No. I would probably do this once a week or, you know, once every other week, something like that, just to make sure that you're not doing this tedious process constantly, but it will effectively save you on your usage
6:18because the chat threads will get smaller, and you're not going to be paying that reread tax. And right here, you can see the handoff file that was created. So, the CCO handoff, it's jobs, standing rules, active work, key links, routines, and what I've learned about you. Everything is there. So, pretty much what I'm going to do is go ahead and copy this, delete this CCO bot, and then recreate a new one. Now you guys can see that I've completely deleted the bot right here. I have three bots where I had four instead. So we're going to go ahead here, click the little white guy, click here, name him CCO, and then
6:47create this bot. And then I'm just going to once this bot is created, I'm going to hand off that markdown file. And then now it's going to completely reinvent the same exact bot. And now I have a new thread and I'm going to be saving on my usage. I'm also going to go ahead and drag him back up to here. After creating that bot, you can see it got the handoff. It says it's up to speed. I'm still waiting on your new videogate verdict for why Grockbot says you're out of usage pitch and I won't act on the proposals until you say yes. The Sunday scoreboard routine stays as is. And what
7:15I noticed is that it didn't actually include that routine. So I had to go and prompt it saying create the routine. And then here it is. And now I have an exact copy of the bot that I just had earlier. And I also need to point out that now this thread is incredibly small and nothing has really changed besides limiting the amount of messages that we're rereading. And speaking of routines, before you kick off any big jobs, make sure you guys are actually checking your usage meter. Then give that job a finish line. You can use this kind of template that I have right here, which is a task where, done when, stop
7:44after that, and if stuck twice, you go ahead and ask me. And like I said, I've read through the documents. Staff said this straight up to scope your tasks tightly. Open-ended jobs keep spending. And then understand the fact as well that Imagine and video, Grock, imagine and Grock video come out of this same pool, too. So save those for when you actually need them. Now, I usually don't do this, but this one fix is so essential that I want you guys to stop watching the video right now and go ahead and try this on one of your bots, especially if you're on the $30 a month
8:13plan because your limits will thank you. Not only that, but it's a good habit to start crafting the more you're going to scale your Grockbot usage because right now there's no other way of doing it. Hopefully, we can get a new chat feature to kind of help improve our usage limits, but that's just not the case right now. So, go do this. Now that I've got that off my chest, hopefully you've taken action. Reason number two is the monthly cap. Your prepaid credit and your monthly additional usage limit are two separate things. Buying credit does not raise the cap. Once you hit the cap, you stay stopped even with credit left,
8:44which is the entire reason for the cap. Your credit and your cap are two different dials. Buying more credit doesn't actually move that cap. And the fix here is pretty simple. It's to set your cap on purpose to whatever you're okay with spending. If a task is already running, it can finish a little bit past the cap, which is a good thing. Auto topup should always stay off unless you turn it on specifically. And back in your dashboard, that toggle can be found right here when you click on automatic topup. And you could set this limit to whatever you want. And if your cap is fine and you're still blocked from using
9:13it, it's got to be one of these two. Next, reason number three is actually reading the wrong meter. Your usage lives in one of two places. If your account is on the unified subscription, it lives on grock.com. And that's where the Grock and X credits work. If you've never unified your subscription, it's probably on cursor.com. Just for clarification, if you've never unified your X subscription, Grockbot is
9:34probably metered on your cursor account. So, Grock or X credits won't actually unblock it. On legacy plans like the cursor plan, on demand has to actually be turned on, and your cap is the ondemand monthly limit, similar to the additional credits in the Gro dashboard. You can find that under settings under usage and billing. And if your usage lives on cursor.com, buying Grock credits won't actually touch that. Now, unifying is optional, but it is permanent. So, support can't undo anything. So, decide that before you click. And also understand that if you unify it and you go to your cursor dashboard, it will automatically send you to the Gro dashboard. Once the
10:10accounts are unified, you will no longer have that cursor dashboard. The only way to regain access would be to create a new cursor account with a different email. Which steers us perfectly into reason number four, and that is that your plan may have landed on the wrong account. The Grockbot team said on their forum that this is a known issue. If you start the switch from a different account than the one that actually has your bots, or you bail before the checkout, the plan can land on the wrong account, and that cannot fix itself. The fix here is simply to not panic and buy a second plan. And also, don't keep
10:39rerunning the switch. Just go ahead and contact support. I'll put the support email down below. And the help page has a contact form as well. Send them every email that you've used for Cursor, Grock, and Grockbot, which devices you use, and a screenshot of the plan Grockbot shows you, and they will happily assist you and probably fix it in the next 24 to 48 hours. I will
10:58advise you that this one takes patience. One more, just so I don't forget it, some people are also getting a prepaid balance is used up message at a low usage number. The team said one of those was a temporary billing problem on their side, and they told people not to buy credits to get past it. So, just make sure you restart your Grockbot first if you've experienced that. Don't buy your way out of a billing bug on the Grockbot team side. The four things that we've already covered are settings specifically. Number five is the one
11:23that you control every single day. Reason number five is what's actually eating your usage today. This is my usage page, the one that I showed you guys earlier. It's one number for the whole account. There's no perbot or poor routine breakdown yet. The Grockbot team says that they are working on it and I'm praying for it because I need that visibility. And not only that, your bot can't actually look up your usage either. One of the biggest things that I want you guys to walk away with from this video is that not every job costs the same amount of usage. So a chat message uses very little usage. Video
11:54and long multi-step jobs use a lot more usage. Browser and computer use run as a normal bot turn. So similar to a message. And all of that comes out of one weekly usage pool. I covered the basics in my last usage video, so I'm going to link that right up here. These are three drains that I didn't cover in that video. So, once you're done watching this one, go ahead and watch that one. Drain number one is probably the most common one that I see, and it's
12:18routines that run way too often. Grockbot's own docs say an hourly schedule, a short interval, or a Slack trigger on a busy channel can use a week's worth of your Grockbot usage in a single day. So, if you're running a routine that runs every 15 minutes, which I hope none of you guys are doing, that's 672 runs a week. If you scope that a little bit differently and just run it weekdays at 8 a.m., it goes from 672 triggers down to just five. The fix for this is to run an audit on all of your routines. Pause the routines that you don't actually need and move the
12:48rest of them to fixed times. If you guys use Slack triggers, narrow them down to one channel and make sure that channel is not as busy so you're not using all of your weekly usage. And a bonus fix that I have for you guys, it's actually a user tip that I found, not an official one. Put a check first line at the top of your routines. Compare one small thing to last time and if nothing changed, stop the entire routine. The bot still wakes up, but it skips all the work that it doesn't need to do. I've implemented this one on my own, and it just makes complete sense. If nothing's
13:16changed, why would you redo all the work that you don't need to do? It's little things like this that are slowly eating away at your weekly usage. Lastly, we have drain number three, and that is third-party models. If you have a helper step that runs on Claude or GPT, it bills you paid credit at API pricing from the very first use. So, even while your weekly meter still has room, that's how people see their credits drop while their weekly number is still low. The fix for this one is to stay on Grock models unless you're specifically meaning to pay for these other ones. As I mentioned, there's no perbot breakdown
13:47that exists yet. So, you have to audit it yourself. So, let's go ahead and audit mine live and turn it into a dashboard. If you guys remember my previous video on pages, we're actually going to be using one here in the form of a dashboard. This audit was inspired by Michael Fenick's routine audit prompt that I found on X. I'm going to make sure I link it in the description and you'll also be able to find it inside of my free school community. And inside of Grockbot, what I did was very simple. I handed my Grockbot, my chief of staff bot two screenshots of my usage page and
14:15my billing page. And I said, I want you to audit how my Grockbots use my weekly usage and build the results as a page called usage audit. Now, this is a pretty long prompt. Like I said, you guys will have full access to it, but essentially what it did, it went through the last week of my entire usage and built out a usage audit page that looks like this. Now, this page is pretty extensive. It's not sexy. And these dashboards and pages inside of Grockbot are not meant to be sexy. They're meant to tell you exactly what's going on and get straight to the point. So, what
14:42you'll find on this page, and I love this little table that it gives me because I can just click and go to them. It gives me what's going on this week, the routines we ran per week, what to do first immediately after this audit, every single routine, exact change checklines, other drains, and then verified versus estimated amounts. So, what I want to really cover quickly here is actually the do these first, and this every routines table. Every single one of these routines gets a label. Let me go ahead and quickly zoom out of this really quick so you guys can see it a little bit better. But I love these
15:10labels. Here's a keep label, slow down, routines that I need to slow down, routines that I actually need to change to make more effective, and then routines that I need to retire as well. I'm not going to break down this entire page for you guys, but there's a lot of bots here with a lot of routines. And the one that I want to cover most importantly is this other drain section because it's pointed out some things to
15:29me that I wouldn't have found otherwise. This first one right here affirms the beginning of the video. And regarding long chats, bots's chat history is about 5.1 megabytes estimated from files, the largest on the computer, and the dashboard rebuild rides on it. The fix here is to write a handoff file and start a fresh bot for the dashboard, which is the first thing that I showed you guys in this video. And it looks like I need to do it for my chief of staff bot. The second one is group chats. I would have never found out that I actually have existing group chats. I don't see them on the lefth hand side
15:58here, which affirms my point that just because you delete something doesn't mean that it gets removed. So right here, I would have to go and tell my bot to actually delete both of those group chats because I don't need them anymore. And then it covers browser jobs, thirdparty models, and then images and video as well. And then down here are
16:13the verified verse estimated amounts. Like I said, and I want to clarify it a little bit more. Every routine gets one of four labels. Keep means it runs at a sensible pace, and I use what it makes. Slow down means it's useful, but runs more than the job actually needs to be run. Change means it should get a check first line, which I talked about earlier in the video. and retire means that I should turn it off. What I want you guys to do right now is actually make this a habit. So, go ahead and ask your bot to rebuild this page the first of every
16:39single month. That's going to be one run a month. And the reason we're doing this is that pages don't actually refresh just when you open them. The routine is actually what rewrites the page and why we're actually creating it. You're going to see the difference in your usage over the next week and you're not going to
16:53see it instantly. So, don't expect that. And I'll also be checking on mine in a future video. The audit itself uses a little bit of your usage. So run it monthly, not daily or weekly. Once a month, one prompt, one page, that's your usage audit, and you'll thank me in a little bit. All right, now let's put it all together. When Grockbot says you're out of usage, run these five checks in order. First is your weekly pool because credits only kick in after this weekly pool is empty. Second is your monthly cap. That's the hidden one. Third is which meter you're actually on, grock.com or cursor.com. Fourth is which
17:25account your plan landed on. Fifth is what's actually eating your usage. Then we have the fixes. In your chats, make sure you're resetting the long ones and scoping every single job. In billing, set your cap on purpose. In your routines, slow them down. Cut the bot handoffs. And stay on Grock models. And once a month, check your cap, rebuild your usage audit page, and approve the trims. I know covering usage isn't always the sexiest topic, but I know that there's a lot of people out there using Grockbot who are very frustrated with the usage that it offers. So, I wanted to give you guys a few ways to
17:58combat that and enhance your Grockpot experience. I know that I threw a ton of information at you guys today. So, if you got lost at any point, don't worry at all. I'm going to be dropping a full free resource guide that walks you through everything you need to know to follow along with everything that I said in this video. All you guys need to do is click the link down below, enter in your email, join my free school community, AI Made Simple. There you'll get access to all the resource guides that I've ever created, including the one from today's video. So, I hope to see some of you guys in there soon. As
18:24always, if you got any value from this video, drop a like, hit that subscribe button. It definitely helps me out a ton. Turn those notification bells on so you never miss one of my videos, and leave a comment down below on what new usage trick you learned from this video. If you've made it this far, thank you so much, and I'll see you guys in the next one. God bless, guys. Hey there, if you're still here, that means you've made it to the end of the video. First of all, thank you so much. If you're new here, something I like to do at the end of all my videos, is pray for you guys,
18:52my audience. I do this because I genuinely love you guys. I appreciate your constant support uh regarding my faith and everything like that in the comments. It's it's truly an honor to do this with you guys and do it in front of you guys. I do this also because I want to see you guys live fulfilled lives. I want to see you guys be courageous and take advantage of every opportunity that God blesses you with. Be good stewards of everything that he's blessed you with and just continue being lights in this pretty dark world. Uh I do this most importantly because like I said, it's a
19:18dark world. I know that there's brothers and sisters of Christ who are just struggling whether it's mentally, financially, physically, um, whatever the case may be. I just know that there's our brothers and sisters are struggling and I want to make sure that they hear us, that they hear our prayers for them, that they know that there's people out there that love them and are praying for them. And I want them to most importantly know that this too
19:37shall pass and things will get better. I'm going to go ahead and send you guys off with a prayer. At this point, if you feel uncomfortable at any point, please feel free to click off the video. I'm not here to force anything on you. Just do know that if you leave, Jesus loves you. Let me send you guys off with a
19:50prayer. Heavenly Father, spirit of the living God, Holy Ghost, thank you so much for this day. Thank you so much for the opportunities that you've blessed me with today. Thank you so much for the breath of life that you've bestowed upon me this morning to allow me to wake up, Lord, and just honor and glorify you in everything that I do. Lord, I want to thank you for this platform. I want to thank you for this audience, the people on the other side of the screen. Lord, I just pray that you use me as a vessel to cons to continue spreading proper information, spreading good wisdom about
20:21AI and just continuing to be a resource to all of the people that tune in to my videos every single week. Lord, I want to pray a blessing for those people that tune in, a blessing of just courage. Continue give them continue, Lord, to give them the courage to just take advantage of every opportunity that you
20:38bless them with that you present them. give them the wisdom to see that it's an opportunity from you and that just following that opportunity and putting their faith in you will change their life and change their day or change the course of their family's life or whatever the case may be. Lord, I just pray that if you present us opportunities that we have the wisdom to see that there are opportunities from you. Lord, I also want to pray a blessing of strength Lord of just strength to stand firm in our faith. um stand firm in our faith, understand how to defend our faith, and just continue
21:06spreading the good word of our Lord Jesus Christ. Lord, I want to take this time to pray for our brothers and sisters who are struggling. Lord, I pray that you reveal them. Reveal yourself to them in whatever manner, whether that's through one of us, whether that's through prayer, whether that's through you, you yourself, just reveal yourself to those who are struggling with mental health, physical health, financial problems, relationship problems, whatever the case may be. Lord, I just pray that you reveal yourself to them and help guide them and lift that burden off of them because we are raising them up to you right now, Lord. Lord, I want
21:38to thank you for your grace. I want to thank you for your love. I want to thank you for your constant wisdom in this crazy space that we all are living in with the AI stuff and everything like that. Lord, I want to thank you for your sovereignty. And ultimately, I want to thank you for your son, Jesus, and his sacrifice on the cross. Because of that sacrifice, I can do exactly what I'm doing with you right now. I can speak to
21:57you. I can have a relationship with you. It's a relationship that we as men do not deserve because we fall short in every single way. Which is why Jesus's sacrifice was so important for us and such a gift. Uh Lord, I thank you for everything once again and I pray all this in the name of Jesus Christ. Amen.
22:12Now, go have a blessed day, guys.
