# Grok Bot INSANE updates (Learn These NOW!) Channel: Brooke Wright - AI Strategist + Educator Video: https://www.youtube.com/watch?v=kR5mVMIvl4o Duration: 26 min Language: English Words: 4368 Transcript page: https://viewrankai.com/tools/youtube-transcript/kR5mVMIvl4o --- [0:00] This is my GrokBot team. They've been running parts of my business for over a month now. So, my chief of staff gives me a brief every Monday and manages all of the other GrokBots underneath it. Jerry, my email manager, checks every brand deal before I see it and only flags with me the ones worth my attention. And my membership ops lead only messages me when something needs a yes or a no. After my first GrokBot video, the most common question I was getting asked was, "Are you still using [0:32] it?" And there's been some huge updates. So, in this video, I'm going to break those all down for you. So, this is everything I've learned about GrokBot in one video. Seven levels from never opening GrokBot to having a team of GrokBots helping run your business. Then, there's one secret hack I'll show you after level seven. How to use Claude code and Codex through your bot's own computer straight from your phone. You [1:02] don't [clears throat] need to code. Let's get into it now. So, level one, downloading it and making your first GrokBot. So, quick version of what GrokBot is. So, GrokBot is from SpaceX. It's owned by Elon Musk and it gives you AI assistants that are proactive. They have their own computer in the cloud, so they keep working when your laptop is closed. And I really do think that this [1:28] is the future of personal AI assistants. We've seen Dots be released. Claude has started to release Duets. There's Instinct. There's so many of these personal AI agents now. So, first up, you set this up on your desktop via the desktop app. Then, you grab the phone app, too, and those stay in sync. So, now the pricing because this changed on the 12th of October. So, it comes now with something called an X subscription, and pretty premium is $30 a month, and that's the cheapest plan that includes GrokBot. If you already pay for Cursor or Super Grok, you can keep using that instead. And just a handy FYI, if you [2:16] switch to this new plan, you can't switch back to your old plan. So, I will come back to what the $30 plan will get you because it is the biggest complaint under all of the comments on GrokBot videos. Okay, so your first bot. Most people start by making one bot and then asking it everything. So, you want to create a team of bots, and this is where GrokBots really, I think, beats dots and other personal AI agents because you can create these team of bots. So, one bot [2:49] per job works better. It's like hiring. You wouldn't pick one person to manage your whole business for you. You want a bot to help you, say, with bookkeeping, one to help you with Instagram, one to help you manage your personal life, like a personal assistant, and they do those jobs really well. So, start with a chief of staff. That's the bot that knows your business, and later on it can hand jobs to other bots, and then it's only going to flag stuff with you that actually [3:20] needs your attention. So, here's what I would type when setting up your first chief of staff bot. You're my chief of staff. I run my business. Here's who my customers are. Here's what I sell. Here's how I like to work. Here's things that I get stuck on. Ask me five questions so you understand my business context properly and so you can actually be an effective chief of staff for me. So, that last line is super important because you want it to interview you and pull out all of the information that needs to actually be a good chief of staff for you. Now, level two, this is where you connect your [3:58] apps. So, this used to be called marketplace, and now it's called connect apps. So, start with two apps, your email and your calendar. And you can just stay there for week one. So, keep click, connect, log in, and done. And if you've got more than one Gmail, like most of us do, you can add in all of them. So, I can manage my business, but I can also manage the stuff that comes in, say for my kids school, after curricular activities, that all sits in my personal Gmail. So, we can pull that in and have [clears throat] a Grok Bot helping me manage the household stuff as [4:35] well. Now, here's the bit that most people don't show you. So, every app that you connect has a list of what the bot is allowed to do with it. So, for Gmail, turn creating drafts on and sending off, especially if you're just getting used to this style of AI agents, and you want to have some control over what it can and can't do. Because Grok Bot is built to be proactive. If sending is switched on and you haven't told it not to do that, it will go ahead and send that email for you. And so, you can start out with drafts on to start with, and then once you get comfortable, then [5:13] you can loosen it. It's like hiring an employee, right? You don't give them all of the responsibilities, they have to earn that trust and get that experience before you hand that over to them. Now, two more things before you connect anything else. Never paste a password into the chat. When it needs you to log in somewhere, it'll ask you to take over [5:34] its screen, or send you a secure form. And so, you want to put your passwords, your card details into this instead of the chat. And all of your bots share one computer. If one bot is logged into your email, every other bot can reach it, too. So, giving them different names and roles doesn't keep that access apart. Just keep that in mind. So, here's my rule. Don't connect anything that you wouldn't hand over a brand new contractor in that first week. I don't connect things like my bank to Grok bots. So, you need to have a think about like where your boundaries lie. Now, [6:14] level three is where we set the rules. And you want to set these before it goes off and does anything on its own. So, go into settings, then general, then order review. So, you can write rules in plain English here. And if you have an ask first rule, that will make sure that the bots ask you first before it does anything. Remembering that these are proactive bots. So, inherently, they are designed to not ask as much as something like Claude code or code X. So, if you want that same style to start with, you [6:47] need to specify that in your settings. So, start with these. Ask me before you send anything. Ask me before you post anything. Ask me before you delete anything. And ask me before you buy anything. And when it does ask, you'll get the options for allow once, always allow, or deny. So, for your first few weeks, I would say always ask. And then for certain tasks, once you're comfortable and you're happy with the output, you can have always allow. Also, good to know here, if a routine or another bot asks for approval and you don't answer within 10 minutes, that request expires. So, the job just doesn't run. So, if something didn't [7:29] happen overnight that you were expecting to, just check your approvals first cuz that could be the issue. Level four, skills. This is how you stop explaining jobs twice and start getting your bots to do things for you. A skill is a recipe card all the steps that you want your bot to complete and in what order, what tools are they allowed to use. So, how do you reply to brand deals coming into your inbox? How do you onboard a new client? How do you name your files even? And there are two easy ways to make these. When a bot finishes a job and you like the way that it did [8:08] it, you just say save this as a skill. That's it. The second way is my favorite. You open You open the bot's computer and hit teach it a task. Then you do the job yourself while it records and it can record for up to 10 minutes. And when you stop, it writes the skill from the task that it's just watched you do. So, you could show it how you filter your emails and it does it your way from then on. And this is really handy too because often when we're describing [8:40] workflows, we actually skip steps. Whereas if you record you actually doing it, it's going to grab every single step for you. And skills are just get skills are shared across all of your bots. So, you teach it once any of the bots can use it. So, hot tip here, keep your skills small. One giant write my newsletter or all of my marketing skill is hard to fix when something goes wrong. We want to create specialized bots with specialized skills. So, you could split that newsletter into research, drafting, and formatting, and also have a reviewer skill. And then you only have to fix the bits that are off [9:22] in that workflow. Now, level five is routines. This is where it starts working without you and gets really powerful. So, a routine is just a job on a schedule. So, my social media manager hunts for new ideas every Monday for my short form content. [snorts] It goes out and researches new AI news, what's trending on X and Reddit, and because this is powered by X, we actually have the ability to tap into that whole ecosystem. And then it drops all of those into Slack for me to review and then film. So, don't build routines in the settings yourself. Just tell your chief of staff what you want handled and [10:06] let it set them up. It can even create new bots for you, and it will come up with better routines than I ever could have. So, this is roughly what I told mine. Check my calendar and email daily, flag anything that actually needs me, read my sent emails and create drafts that sound like me, and create a skill from that. Don't send out anything labeled brand deals and hand them to Jerry. He checks and goes out and researches if the brand is legit and if it's a fit for my audience. And I only want to see brand deals that meet that criteria. So, routines don't have to run [10:47] on a timer, either, which is really cool. They can start when something happens, like a message hits in Slack, and this one feature is new, so your bots can now have an email address. Just ask it to claim one. It's as simple as that. Then you can add a tag to that email address, like the bot's name plus receipt, and make a routine that only runs on email sent to that tag. So, you could forward every new receipt to that address and have a routine that logs it in a spreadsheet, so it can start to do [11:22] your bookkeeping for you. Anything your bot sends from its own address waits for your approval first. Level six, this is your bot team. So, once your chief of staff is working, you want to add specialist. And we want one job each. So, here's what I changed from my first video. I had my bots chatting with each other in a group chat, and every message between bots eats up my usage. Curser's own team has said that telling bots to stay quiet is actually only a hint. It's not a hard stop. So, one person in a forum actually had five bots chatting with each other for over seven hours. That's going to burn [12:07] through your tokens fast. That's why middle managers for your bots matter. So, my school concierge and my new member onboarding bot report to my membership ops lead. I only hear from the ops lead on things that actually matter, and only when something needs a yes or no. So, again, based on my permissions, they can go off and do things, and then it will flag with the ops lead when it's unsure, or it's a task that it hasn't done before, and then that comes to me for approval. So, in a group chat, you can have between two and six bots, and you can use the at symbol to give a bot a job. And don't at [12:49] everyone, otherwise they'll all jump in and try and do that job. You want to tag a specific bot for a specific task. So, one thing I didn't know is that approval requests and login requests don't show up in a group chat. You have to go into that bot's chat to find that request. So, you can also star one bot as your main bot, and it can keep an eye on what the other bots are doing, and then take jobs and offer to take jobs off your plate. Now, everyone on YouTube is showing bots for things like content, but if you don't run a YouTube channel, [13:27] that's not going to mean much to you. So, here's the team that I would start with for a service-based business, like a bookkeeper, a coach, or even a salon. So, you want a chief of staff. This is the one that knows your business inside out. It's going to hand off jobs to your other bots, and it's going to give you a summary daily. I would also have an [13:53] inbox manager. So, it sorts your emails, it will draft replies, it can archive and label things for you, and flag things that need your attention, and prioritize that for you. You can also have a money bot, and this is going to check do you have invoices that are outstanding, are there invoices that have come in and been paid. You can also draft polite reminders to invoices that are overdue. And QuickBooks has a connector now as well for Grok bots, which is super handy. You could also have a client care bot. It sends a welcome pack every time you sign on a new client, or when someone books, and [14:33] it chases any forms that are missing that the client needs to fill out before, say, attending an appointment. And my favorite is a home manager bot. So, school notices, shopping list, online grocery ordering, birthdays, gift buying. Keep it out of the business group chat, but this one, honestly, the mental load bots can take that. And for every bot, the description needs three things. What it owns, what it's never [15:04] allowed to do, and who it reports to. And again, you can just set these up by having a conversation with your chief of staff, and it will create them for you. So, level seven, bring in your real team and make things. So, in my first video, one of the biggest cons was that you couldn't actually collaborate with humans, and that has changed. So, team [15:28] bots came out at the end of September. You publish one bot to your team, and each person gets their own private chat with that team bot, and it works in Slack, too. So, your VA can ask the client care bot, "Where are the clients' forms up to? Are there anything outstanding?" And it's not going to see any of your chats. Bots can also make [15:51] things now for you, which is super cool. So, slide decks in PowerPoint or Google Slides, and the newest one is pages. So, they're reports and dashboards that the bots will keep up to date for you. And if you start connecting your tools, it can bring in that data in real time. So, you could have a page that updates every Monday with your clients, any invoices that are outstanding, have you signed on new clients, are there forms that are missing, all of that. And if you build a bot you love, you can share it as a template. So, it copies the setup, not your actual logins or your [16:30] chat history. Still, make sure you don't accidentally leave passwords or private details in these. You can also sell these as digital products. Okay, now the secret hack. So, remember your bot has its own computer, and that computer has a terminal. So, that's just the black window where you type commands. So, you can log in to your Claude code or Codex instance in the terminal, and then guess what? Your Grok bots can access that for you. And then it runs on your bot's computer, and uses your own Claude or chat GPT plan. And then you could say [17:06] things like, "Access this GitHub repo." If all of your business lives there, your Grok bot can now access that and use Claude code or Codex as well. This is a huge unlock and it means that Claude Code is always on and you can use it from your phone. It also fixes one of my biggest annoyances with GrokBot is [17:28] that you can't choose your own models. But with Claude Code, it's going to use Claude Code and you can pick those models within that. And you don't have to type any commands, you can just get your bot to do it all for you. So, here's what you would say to set that up. Open the terminal on your computer and install Claude Code or Codex. Then start with the login and stop and tell [17:53] me when you actually need me to login. So, it's going to install that all for you. Then a signing page is going to pop up and that's where you would take over the screen and just sign in to your Claude or your Codex account and click authorize. Don't type your password into the chat here, please. So, Codex works exactly the same way and then you just want to give it access to files that it needs. And so, this is why setting up your HQ on GitHub is really important because then it can access all of the files, any skills that you have, and use it on your behalf. And then your GrokBot [18:32] has the same context that your Claude Code has on your laptop and you can work collaboratively. And so, then you can be out and message GrokBot on your phone and say, "Get Claude Code to draft this newsletter." or "Get Claude Code to build this landing page for me." and it's ready when you get home. So, a few things to [18:55] know here. So, Claude Code needs a paid Claude plan to access this. The free plan doesn't include Claude Code. And then the work that GrokBot does for you using Claude Code is obviously going to use your usage on your Claude plan. And your bot still uses its own usage to use Claude code or Codex. And again, coming back to the fact that all your bots share a computer, all of your bots will have access to your Claude code instance. So, you want to keep the ask first rules on here and just get your bot to check with you anytime it does something with Claude code, particularly [19:34] when you're first starting out. And so, Grok Bot's own help docs do say that anything installed on Grok Bot's computers can get replaced. So, if your instance of Claude code goes missing, it might just be that they've done an upgrade and wiped everything. So, if that happens, just get Grok Bot to install it again. Okay, so now let's break down what it actually costs to run Grok Bot because the top comments on a bunch of Grok Bot videos over YouTube is that people are hitting their limits on [20:06] day one. So, here's how it works now. Your plan gives you a weekly pool of usage. And on the new X subscription, that pool covers Grok Bot and your normal Grok chats. So, chatting with Grok, if you use that AI, will use your usage tokens as well. And this resets every week. So, if you run out, you can buy top-ups. So, here's what eats your usage. So, we mentioned Grok Bot's messaging each other, bots clicking around on the website using their own browser, that's going to use quite a bit of tokens. And one really long chat that never ends. So, here's how you can make your tokens last a bit longer. Connect [20:51] the app instead of Grok Bot opening a computer and clicking around. So, if there is a connected app, choose that path always. It's going to be heaps more efficient. In group chats, give each bot a job, just one bot rather than having a whole bunch of them jump in. Run routines as often as you need, not as often as you can. So, really think about like does this need to run daily or could this run weekly or monthly? My email triage doesn't need to run every 5 [21:21] minutes. I've got that set twice a day. That's enough for my emails. Okay, so the things that still annoy me about Grok Bot. One is the memory. Your bot remembers things from your chats and from you chatting with it, but there's still no oversight of the memory. So, you can't see what it saved. So, how to get around this is you want your Grok Bots to log its work either in a Google Sheet or Notion, so that you have an oversight. And then you've got a record [21:54] of what it actually did. Number two is you can't pick the AI model. So, Grok Bot is just going to pick the one that it thinks is best for the task. So, most days I don't notice this, but there are times when I really wish that I could pick the model. And the hack that I showed you is I guess one way to get around that. And then [22:17] three is the sidebar gets messy fast. So, hot tip, hide the bots that you don't chat with. So, if you've got your middle managers and you've got the bots underneath that are reporting up to the middle manager who then flags stuff with you, hide the ones below that. Hidden bots still run their routines and deleting bots doesn't clear what was left on the computer anyway, so you should be fine. Now, two things for my Australian viewers, tagging at bots currently doesn't work for us, which is super annoying and hopefully that gets rolled out soon. And the help docs say whether or not your data is used for [22:55] training is based on your cursor privacy settings, so make sure you have checked them out in your settings. So, who are Grok bots really for? If you are non-technical and you want an assistant on your phone that keeps working regardless of if you're traveling, your laptop's off, then Grok bots is probably a good option for you. And it is probably the easiest, slickest one that I've used. I've tried dots as well. I know that Claude Duet's is coming out and people I've spoken with who have tested it have said that it feels unfinished. So, Grok bots really is leading the way at the moment for I [23:34] guess the user interface and the user experience. Now, if you've never written down a single job that you do, it's going to struggle or you are going to struggle to delegate out to AI. So, you really need to start thinking about how you do your work and how you can hand that off to AI because it can only follow a process [23:55] that you are able to communicate to it. And if you already use Claude code or code X, you can still do your desk work from there. That's still where I spend most of my time. The one thing that I found really helpful was the other day I needed to make some returns on some [24:12] things that I purchased that didn't fit. And I was out for a walk when I remembered to do it. So, I opened up Grok bot and it went and filled out all of the return forms. It went into my email to find out where they were and it like got me to the point where I now just have to print out the return labels. So, that was something really cool and I think for those small tasks, that is where these personal AI assistants really shine. So, [clears throat] here's your first week with Grok bots. Download it, create your chief of staff, and let it interview you. Then on day two, connect your [24:49] calendar and your email. Set it to drafts only first. On On third day, I want you to try the teacher task and teach it a task that you do and hand it off to one of your Grok bots. By the end of the week, add your first routine. A Monday briefing is a perfect place to start. And then add specialists at a time and make sure you keep going back to your chief of staff. Get it to continually interview you about your work so that it can help you develop your Grok bot team. And if you're still deciding on Grok bot, Meta Muse, Dott, and what the hell an AI harness is, then [25:28] the video on the screen now is the one that you should watch next. And make sure you like and subscribe so you don't miss out on more videos like this on my channel. --- About this transcript Read from YouTube's own caption track and laid out by ViewRank AI (https://viewrankai.com).
