# How I Manage My Entire Life with Grok Bot (It Already Made Me $4,000) Channel: Jerad Hill Video: https://www.youtube.com/watch?v=1Ip_7oZVO94 Duration: 26 min Language: English Words: 5411 Transcript page: https://viewrankai.com/tools/youtube-transcript/1Ip_7oZVO94 --- [0:00] Hey, it's Jared. In this video, I'm going to show you my entire GrokBot setup. Now, I've only been using GrokBot for a week, and I don't want you to lose me here. You're probably thinking, yes, another guy talking about how GrokBot has changed his life in 1 week. Well, I've watched a lot of those other videos, and I'm going to tell you how it's handling all of my emails, all of my scheduling, it's making sure that any new client requests don't fall through the cracks, and there's a bunch of other things that it's doing as well. And I've been able to set all of this stuff up [0:30] not of time. Really, I probably have invested less than 8 hours into this over the course of the last week, and it is returning dividends. I'll talk a little bit about how it's managing my email, but I would have missed out on $4,000 worth of work that I just would have overlooked, and I'll talk about that as we get into it. So, let's pull up GrokBot first before I get into the different bots that I've created. If you've been around my channel or my Substack, you're probably aware that over the last several months, I've been using a productivity system that I built using Claude code, and I've made that [1:12] source code available to a lot of people. There over 200 people who have accessed that from the GitHub and have been using it and creating their own variations of it, and it's been a really great system, and I've gotten a ton of good feedback, and then it's also done a lot for me as well. But, the problem with that system is that it's only as [1:32] useful as when I log in and look at it. If I'm not pulling up the dashboard and looking at it, then it's not doing me much good. Yes, it will send me notifications when I have tasks that are due or something hasn't been paid attention to in a while, but it's not conversational, it's not it isn't acting like an assistant, it's just another [1:52] tool that I have to pay attention to. Albeit probably one of the best tools that I've ever used. It's not doing what I'm about to share with you that Grok Bot has been doing over the last week. And so, I'll talk about how I'm using Grok Bot and what's connected to it. But, one of the things I'm going to do next is actually have Grok Bot connect to my dashboard that I created in Claude code because I have a lot more context over there. And I also want to have ownership over all of that content. So, any projects, tasks, history, notes, anything that I'm saving, I want it to [2:30] live there because even if I decide to do something completely different with that dashboard, it's all in database that can be reorganized, restructured, moved, migrated, whatever. It's very hard to get all of your data in and out of other systems, especially these AI tools these days. And so, I want as much of my information to live in that database as possible. Anyway, let's get into Grok Bot. First of all, I've been using Grok Bot for the last week. I have a ton of different bots, or I I don't know a ton, but a bunch of different [3:03] bots that accomplish different things. And I actually just had my own personal bot that I'm using for my YouTube channel, my Substack, and stuff like that to look at all the other bots and and put together a list of what these bots are doing for me. So, I'm going to go through business, personal, and household. Those are going to be the three categories we're going to look at today. And I have a lot going on with business, so let's start with inbox triage. I have a couple of bots here. I have my hill.email bot and HMG bot. And these bots have different titles. This particular bot here is for my [3:41] Jared@hill.email email address, and that bot checks that email and looks at everything that's in there. I get a lot of uh requests from companies to make videos on specific things for my tech and camera channels. And so, I have companies reaching out, whether they make, um, smartphone cases or different products that are used with tablets, smartphones, laptops, cameras, all of that stuff. And a lot of it is not great. A lot of that stuff is just noise. I don't want to hear it. And over the last many years, if I don't have time, I just delete all those emails. I don't have time, delete them all. It's [4:19] impossible to manage all of them. But, I've been using Grockbot over the last week to triage those and look at all of them. I asked it to look at my entire YouTube channel history, so that it knows what type of products I talk about, what type of things would be useful when I'm making a video about smartphones or or pocketable technology, [4:40] wearables, tablets, and all that stuff. And so, it has some awareness of what I might be interested in talking about. And then, it will automatically filter those emails, and it will give me the ones that I should respond to. By the way, it's also looking at the company and whether or not it's a reputable company. It's looking at other reviews that people have made, if the product has reviews, if it's on Amazon, all of those things, so that it can come back to me and say, "Hey, look, this is a potential good opportunity." Or, "Hey, this is some knock-off, you know, piece of junk from whatever country, and you [5:18] should probably just ignore it." And then, it will just delete those emails. I have it just deleting them right now. I'll probably have it like filter and archive or tag and archive those later. But, right now, I've been able to respond to emails here, and so, it actually drafts these emails up for me. And then, I'm able to edit that draft if I need to, and then hit send. And then, it pays attention to the replies. It lets me know what they came back with, if we're talking about them sending me the product so that I can make a video about it or make a video with an iPhone [5:51] and a case or something like that, whatever it is, I've got it handling those things for me. And it's resulted in money that I would have missed out on. Now, I don't do a lot of brand deals. Obviously, like I said, I've been deleting all of those for a long time. But every now and then, for example, a smartphone case company with a reputable brand that makes a great product, like I don't mind talking about that when I'm talking about my smartphone camera or [6:17] how I'm more productive with my phone. Those are great opportunities for me to talk about a product so that they can help fund that video. It's expensive and time-consuming to make videos and edit them and put them out. And this video here doesn't even have a sponsor. So, this particular Grok bot has already made me over $4,000 because I've been able to connect with some of these brands and look for opportunities that are good fits for both of us. And because of the volume of email that I get with that particular email it has its own bot. I want it to manage all of that email and stay on top of it and [6:49] just bring everything about that email address into this specific bot and manage that. But then I also have a bot that I'm calling my COO of Hill Media Group, my chief operating officer. And the job of that bot is to check my Hill Media Group email, also be on top of what projects that I'm working on and tasks that are associated there. It's reading my email and bringing in any information or context that's going to help me get those projects done. One of the challenging things about working with clients is that a lot of times you're waiting on them for more information, and so you're task shifting [7:24] and moving around to different things. And because this bot is aware of the projects I'm working on and my email, it can say, "Oh, hey, so-and-so from such-and-such company I just got back to you with this information. It's what you were waiting on. When do you want to work on that?" And then I can say, "Yeah, let's work on that Tuesday morning during that sprint session and put it in there where it fits best and the amount of time that you think it will take for me to complete that." And then it actually goes and updates my calendar and time blocks that. And then right now I have it creating a task for [7:58] me in Todoist, but that's just because it was a one click for me to connect to Todoist to Grokbot. Eventually, I want to connect Grokbot to the dashboard that I talked about earlier that I built with Cloud Code. But for right now, it's using Todoist, which is working just fine. So, my COO's job here is to be the chief operating officer of Hill Media Group, which runs day-to-day operations, client project and retainer tracking, Google Ads oversight, and marketing content including YouTube for Hill Media Group focused on promoting the customer journey assessment, and schedules all of my stuff through Grokbot. And I'll talk about Grokbot here in a minute. But you [8:36] can see my COO handles my entire business. And so, as I give more information to my COO here, it's going to be able to do a better job of helping me manage my business. And this is just like having an assistant that is sitting there ready to go. And some of these items are scheduled. It checks my email periodically throughout the day and brings me any new information that comes in. And so, some things are happening automatically in the background, and other things require me to prompt and talk to it. But for the most part, this is going to operate on its own in the background knowing when it needs to [9:12] check in with me on projects that haven't seen any movement, if there are tasks or things that didn't get done and don't seem to have gotten checked off, this particular bot here will be keeping me on top of all of these things. And that's essentially what I built my dashboard to do, but I have to go to my dashboard and figure all of these things out unless it sends me a push notification, which the push notifications are okay, but they're not nearly as good as a chat conversation. I mean, I really feel like I'm in iMessage right now and I'm able to chat with just a whole bunch of people that are doing [9:42] tasks for me on the other side when really it's GrokBot just doing all of this stuff through a computer. So, as I talked about, it's actually handling my sponsor pitch vetting, which is pretty much amazing. It runs Hill Media Group. I also have directors for each of my YouTube channels and so my Tech with Jared channel, which is where I talk a lot about mobile technology, smartphones, tablets, wearables, and all that stuff. The director of that channel is in charge of staying on top of videos that I'm working on, managing ideas for videos, also knowing exactly where each video is at in the stage of whether it's [10:17] being filmed or it's being edited or it's been posted. And so far it has a little bit of information there. I actually had built out this type of system in my Cloud Code dashboard and that has worked out really well, but it's very manual. I have to go in and manually deal with that. And so eventually I want to connect this to that tool so that way it's automatically updating things and it's using my dashboard to pull in data. But one of the big videos that I have coming up is a case roundup for the iPhone 18 Pro Max and so I have an inventory of all of the [10:48] cases that I have access to that I'll be talking about and which cases I'm I've been using daily and it's going to help me put together an outline and stay on top of that video and then also make sure that the sponsor that I have for that video is getting fair coverage and that I'm delivering on all the promises that I made them. Now, because I have multiple YouTube channels and I also make courses and other video content, I have a studio manager. And my studio manager helps keep everything under control when it comes to working on all of these different YouTube channels and online courses. When am I going to film [11:21] all of this stuff? Well, I can't just film every single day because I have Hill Media Group and many other things that I'm running and so I need to have time slots in which I can go and film and I can't just show up in my studio and decide to work on something like I need to be planned out a little bit better than that. And a lot of times it has just been, "Okay, I can film today for 3 hours. What should I film?" And it takes me an hour to 2 hours to figure out what to film. Well, now that's not going to happen because I have my studio [11:49] manager. And my studio manager communicates with the directors of each of those YouTube channels. And so, when those directors are aware of videos that need to be done, then they can send that over to the studio manager. And when the studio manager knows that I have a few hours to film, or I have a slot that I'm going to be able to spend some time filming, then it knows exactly what I [12:11] should be working on and the priority. And it also knows the priority across all of the channels as well. Maybe there's an important video that's timely that I need to get out on the tech channel, but I have like four other videos that I want to get done on the camera channel. It knows that that tech channel video is higher priority than the camera channel videos, and it'll be able to help keep me on top of that so I don't waste a bunch of time when I step into the studio because ultimately I want to sit down and start filming. And [12:37] so, this bot I haven't done a ton with. It's just relatively new, but it is aware of the course that I'm working on right now. I'm working on a video creator's fundamentals course, which teaches beginners everything that they need to know about how to record videos and basically be a video creator. And so, because of that being a big project, my director of my online courses knows where I'm at with that course as far as how much it's been filmed, how much of it's been edited, what's already live on the website, and then the other courses that I'm working on as well. So, that [13:11] way I can stay on top of all of this. There's also a couple of courses that I want to eventually update, so I made it aware of those as well and the timeline in which I want to have those courses updated. So, that bot has the specific job of staying on top of all all my online courses. And then I have a bot for photography work. I still do photography work for clients. I just got done doing the school portraits for about 600 students and faculty. And so I have to process all of those photos, get them edited, get them uploaded to my online gallery, and organized so that I [13:43] can share that with the school. And so it stays on top of basically my photography studio, which I don't have a physical photography studio that I do work in. But any work that I'm doing for clients, it's going to be aware of that, and so I can stay on top of what needs to be done, and not just be looking at an a notes list that I might have made that ended up getting buried. Now I have a bot that has the awareness of all of this stuff, including due dates, so that it can speak with my executive assistant, Jarbot, which we'll talk about here in a few moments, and then [14:15] that can schedule out time for me to work on all of these things. And then lastly here, bots hand off to each other. A channel bot passes finished plan to studio manager, which puts it on my calendar, so that I'm not the go-between. All right, so let's get to the personal section, and this is where things really start to get cool. Let's first talk about Jarbot, who's my executive assistant. For lack of a better name, I know Jarbot, first three letters of my name, but that's what I'm calling it for now, and that's my executive assistant, which tracks my time, reminders, deadlines, and lets me know of anything that's coming up. For [14:48] And it gave me an example here, like recurring bills, like a truck payment that's due on the 22nd, as an example. And so my executive assistant is the stop gate before anything gets to me. Everything else has to go through the executive assistant. And the executive assistant manages my calendar. It right now it manages Todoist, and it also gives me an update at the beginning of the day, letting me know what I'm going to work on. And then at the end of the day at 8:00 p.m., Jarbot sends me a message, and I plan out my next day. It has awareness of everything that I'm working on, and so it gives me a list of [15:21] things to choose from to work on the next day. I want to have three main things that I want to accomplish the next day, and one of those is a high priority thing. And that's something that I've done all the way back to when I was managing all of my tasks in a paper journal. I had my one main priority task that I wanted to get done the next day, and then two other high priority items. And then from there, if I got those things done, I can work on lower priority items. But focusing on those three things was a huge unlock for me, and that's something that I built in [15:54] to my Claude Code dashboard, and it's something that I have my bot doing here. And so, at the end of the day, I choose the priorities for the next day. And so, when it gives me my schedule for the morning, like it does right here, it can say, "Okay, here's the things that you're going to be doing today." And so, [16:10] it lets me know what's most important. It gives me some of my tasks for the day, and then lets me know what the rest of my day looks like. And if I had a real executive assistant, this is exactly what I would want him or her to do. I would want to look at my day at the end of the day and plan for the next day ahead. This is something that I've been doing manually for a while, but the challenging thing is is like, "Well, if I sit down and do that, I have to toggle items, I have to choose, maybe I need to add some new things as tasks, I need to [16:38] go over to my calendar and look at that." There's a lot of things that I need to jump around and do. And that's what I've been doing for the longest time, even with my own system that I built in Claude Code. But with the bot here, it just asks me a few questions, I tap on a few things, it schedules them out, it changes the priority of the items in Todoist, so I know which ones are top priority, it puts the other items as lower priority, and it also checks my calendar and makes any updates to the day to ensure that I have time blocks that are available for working on [17:07] these things and ample time to get to the next thing, especially if it's a meeting that I need to travel to. So, Jer Bot truly is my executive assistant and really helps keep me on top of things, and so far it's been absolutely fantastic. I also created what I'm calling the Yap Bot, which is just where I just throw ideas, dreams, other things into that I don't want to throw into one of these other bots, and that's just more of a storage spot. Like if I've I've just want to get something off my mind, I want to jot an idea down, something that I want to think about for [17:40] the future, I just for lack of a better term, yap it in there. the whole yap thing, but it's catchy, and I just yap it in there, and then it will save it, and then my executive assistant and everyone else is aware of whatever that context is. And so, if something comes up later, they can pull from an idea or a thought that I had previously, it's there in the Yap Bot just waiting. And the Yap Bot doesn't have anything for me, it doesn't do anything automatically, it just spends time listening, and then of course I can go back in there and ask it for context or [18:14] reminder on something at any time. And so, that's a nice spot for just logging information. I also created one called Crypto Bot, which is actually connected to my Coinbase account, and so it looks at my Coinbase holdings, my crypto holdings, and it looks at where the market is at and where the market's moving, and it gives me a summary four times a day, one in the morning, two middle of the day, and one at the end of the day, so that I can see where the markets are moving. Things have been moving back in a good direction, but there's lots of times when something moves up and then it sells off. And so, [18:47] I want to make better decisions when I buy a little bit more because typically I like to buy the dip, and so when things come down, I like to buy, and then when they go back up, it's great, but then when they come back down a little bit more, I buy more, and so that's just typically my basic process for crypto investing. And so, I just wanted to have a bot looking at all of that and identifying when those opportunities were for me so that I don't have to pay attention to it because I was paying way too much attention to what the market was doing [19:16] and the crypto bot will actually do that for me and it will give me those summary updates and let me know if it's a good opportunity for me to buy a little bit more or if I should be holding on and waiting. And then as I've already mentioned there's my bot for what it's calling my personal brand. I don't really like the term personal brand but Jared Hill as an entity I guess as a YouTube channel as a Substack and what exactly that does and then the shared memory what one bot learns about me like family faith and priorities is available to others which is great. And so all of [19:48] these bots are kind of talking and communicating. Then we have the household which I called homie. That's my household COO for maintenance, recurring upkeep and other stuff like that. Not only do we have just typical household things that we need to stay on top of but I also have a vehicle, my wife has one, my oldest son has one. We just bought another vehicle for uh one of my other boys that's going to be getting his license soon and that's a lot of vehicles to stay on top of with maintenance. And so my homie here is going to stay on top of all of these things for me. It knows when the last [20:20] oil change was, when the tire rotations were. It knows when the filter was changed in the furnace the last time and our water softener when it needs more salt pellets and all of these different things so that I don't have to stay on top of that. And it creates reminders and puts them into To-Doist right now so that I could be reminded to check on those things. And then there's another bot that I haven't really used. I actually created this one this morning and I'm calling it hype man. You see I try to start out my day early with a workout before everybody else gets up [20:49] which sets me up well with a lot of energy to get myself through at least the morning. But things happen throughout the day and it might knock me out of a focused state and I struggle to get back into that focused state. I might spend some time scrolling. I might go if I'm working from home go eat something. I don't know, there's always distractions. And then sometimes I'm just not taking care of myself that well, and that results in a lack of ability to focus, too. Like, am I drinking enough water? And just different things like that. And so, my Hype Man is there to encourage me and [21:25] keep me going throughout the day and check in with me from time to time. And that starts by at the end of the day it asks me to answer in one sentence how my day went. there is anything that I could have avoided so that it becomes more aware of those things. And then it recommends a time that I go to bed based on my calendar because simply setting a reminder on my watch would get frustrating. Because like if we're at some of my kids basketball games or something like that and we're not going to get home until 9:00 p.m., I don't want a reminder that I should be getting [21:53] ready for bed at 8:00 because then I'm like, "Man, I am kind of tired. I wish I was getting ready for bed." I want some context awareness. And that's what Hype Man is going to have is context awareness. So that it can notify me at appropriate times and I don't just fly by the seat of my pants every night. I [22:10] want to get to bed at a reasonable hour. And then throughout the day, it's checking in with me and seeing how things are going. It has awareness of my executive assistant bot as well checking in with that bot. So it knows if I'm getting things accomplished or if I'm not getting things accomplished. And it can send me some words of encouragement to help get me back in stride with what I want to do accomplish for the day. And so that's going to be great. My Hype Man is going to be kind of like a coach alongside me for my day, keeping me motivated, keeping me going, making sure [22:40] I'm drinking water, that I'm eating healthy, that I got my workout in. And I need that because otherwise I'm completely relying on myself to stay motivated and get all of those things done. When a lot of times my mind is telling me, "You don't need to do that today. Go ahead and take a break from that." And while breaks are valid and there's a time for that, I want to have those set at a specific time, scheduled at a specific time. I don't want those breaks to essentially be procrastination because procrastination is not doing the things that I know I should be doing and doing something else instead. I would [23:12] rather be on task, get the things done that I want to get done, so that when I do relax, I truly can be disconnected from the things and relax and not feel like I'm robbing myself or robbing time from something else. So, there are a ton of other things that GrokBot can do. I've actually connected it to a lot of different apps and other services that I use, and I'm excited to figure out new ways to have GrokBot work on things in the background for me, so that I don't have to manually stay on top of everything. And GrokBot's relatively new and extremely powerful already, and it's [23:45] saving me a ton of time. The immediate awareness that I have of all the different things that I'm managing, knowing that they're in a system and organized in a way, and there are check-ins that will happen because I've assigned a bot to take care of those things for me is huge. I mean, even just as we've been talking here, I got my 9:00 a.m. look at the crypto market, and it's giving me some potential areas in which if I did decide to sell and then re-enter at a lower spot, then I could do that, or some potential buy-in levels [24:14] if things were to go down a little bit. And I don't know, maybe one day I will allow GrokBot to actually just do those trades for me, but for right now I'm having it just give me the information so that I can learn and see how reliable it is and whether or not that's something that I would want to trust it with. And so, in the period of 1 week, GrokBot has changed so much about the way that I work, and I don't have to worry about so many things anymore, trying to keep all of those things on top of mind and juggle all of these [24:42] different things because I have different bots dedicated to managing different things, and all I have to do is go in there and ask a question or tell it something, and it handles the organization of that and the surfacing of information, and I know that right now I'm only scratching the surface of the potential of using Grok bot in my life. If you're interested in any of these bots that I've created, I may share some of those bots or at least make the instructions on how to set up some of those bots available, but you'll definitely want to hit up my Substack in order to be notified when those things [25:14] become available because I think this is extremely valuable and I'm using it well beyond what most other people that have been making YouTube videos have been doing. A lot of people are like, "Hey, I let it organize my email or move some files around on my computer." That's boring. I don't care about that. I want it to do actual work that I would potentially need to hire somebody to do [25:33] and right now it's doing that for me. So, let me know what your thoughts are down in the comment section below. Have you been using Grok bot? What's the number one thing that it has unlocked for you that's been super valuable? Share that with me because I'd love to hear it. But, that's going to do it for this video.
